Technical approach

How a report moves through our system

Using transcription as the example, here's what happens at each step.

  1. 01

    Secure intake

    Dictation arrives over encrypted channels (site-to-site VPN, SFTP, or TLS 1.2+ APIs) straight into our GovCloud environment. Audio and drafts never sit on staff laptops.

  2. 02

    Speech recognition draft, expert edit

    Speech recognition runs inside our boundary and produces a first draft. A U.S.-based editor listens to the audio, corrects the draft, and releases the report, so nothing goes out unreviewed.

  3. 03

    Checks before upload

    Patient, visit, author, document title, and facility are validated against the order before upload, which catches wrong-patient and wrong-facility errors before they reach the chart.

  4. 04

    Auditable line counts

    Visible black character and line counts are computed from the final document to the contract definition, with a transmittal log for every batch.

  5. 05

    Full audit trail

    Every access, edit, and release is logged with who, what, and when. Audio and reports are kept and destroyed on the contract schedule.

  6. 06

    Live reporting

    Turnaround, backlog, and accuracy by site and by author, with alerts before a STAT job is at risk of missing its window.

  • Hosted in AWS GovCloud (US), a FedRAMP High (Class D) environment in the U.S., with AWS access limited to U.S. persons
  • PHI processed only in HIPAA-eligible services under an AWS Business Associate Addendum, encrypted in transit and at rest
  • Controls aligned to NIST SP 800-53 and VA Directive and Handbook 6500
  • Role-based, logged access. Staff are background-checked and complete required privacy and security training before handling patient data
